Privacy statement for staff and external users

Team Feedback is a system developed and used at King's College London to manage and organise group project modules. This statement explains when, why and how we collect information about you, how this information will be used and to whom and the conditions under which we may disclose it to others.

Please note that this privacy statement may be updated from time to time in the future, as organisational policies, changes in features and feedback from users may necessitate this.

What information do we collect?

Team Feedback collects the following information from staff/external users:

  • Your name and contact information. This includes the email address you are registered with (normally your @kcl.ac.uk email address if you are a staff member of King's College London and any other contact details you choose to provide in your account profile.
  • If you choose to enter it in your profile, the gender and ethnicity you identify with and whether you consider yourself to be disabled. Note that this information is not used unless you are also a student.
  • The notes, team meeting minutes, comments, summative and formative feedback you in the system.

How do we collect this information?

Data is collected from a variety of sources:

  • Your name and email address are entered in the system at the time of registration..
  • All other data is entered by you directly into Team Feedback.

How is the data collected by Team Feedback processed?

Summary statistics and charts are generated from the marks you enter into Team Feedback. This includes mark distributions per project and module and charts aimed to identify attainment gaps. No other data

How is the data collected and processed by Team Feedback used? Why is it collected?

The data collected by team feedback may be used as part of the marking process, to track team progress and to audit group project assessment.

Who has access to this information?

You have access to all the data you have submitted into the system yourself. The data you enter will also be shared with the relevant module organisers/tutors.

Where is my data stored and processed?

Team Feedback runs on a server hosted by the Faculty of Natural and Mathematical Sciences at King's College London. All data is stored on the same server and backup up to King's College London computers only.

How can I obtain access to my data?

You have access to all the data that Team Feedback has collected about and from you. For a complete record of the data that Team Feedback holds, please contact Dr Jeroen Keppens (jeroen.keppens at kcl.ac.uk).

How can errors in my data be corrected?

Staff and external users can make corrections to data at any time. Please contact Dr Jeroen Keppens (jeroen.keppens at kcl.ac.uk) if there is any data you wish to change but are unable to change.
