Attendance taking and minuting meetings

Prerequisites

In order to be able to take attendance and minute meetings, the meeting scheduling features must have been activated for this module by the module organiser. The module organiser may activate this feature for staff only or for both staff and students. It is only possible to record meeting minutes while the project is current.

Managing meeting minutes

Records of meetings are referred to as "Meeting minutes" in Team Feedback. These include a link to the calendar event for the meeting (if used), attendance at the meeting and a summary of the meeting. The way in which meeting minutes are created differs depending on whether you are a student or a member of staff.

Instructions for students

If you are a student taking this module and wish to schedule a meeting, locate the relevant " Project" menu, where Project is the name of the project for which you wish to record a meeting, in the sidebar. There may be only one such project. Open this menu and click " Meeting minutes" option. This will lead to a "List of team meetings", buttons to view, edit or delete team meetings. To create minutes for a new meeting, locate the green " New meeting" button at the bottom of the page and click it.

Please note that the facilities to edit and delete meeting minutes will be available for a limited time only, to avoid changes in the record a long time after the event.

Instructions for staff

If you are a member of staff, locate the relevant " Project" menu, where Project is the name of the project for which you wish to record a meeting, in the sidebar. There may be only one such project. Open this menu and click the " Teams" option. You will now be shown a list of teams or groups for this project. Identify the team you are meeting and click on the button next to it. This leads the team management page.

If the meeting minutes feature has been enabled, there will be a "Meeting minutes" tab. This leads to a list of meetings, including the time and date the minutes were recorded, the name of the person who has recorded the minutes and some tools to edit or delete the meeting minutes.

To create minutes for a new meeting, locate the green " Meeting minutes" button at the top of the page and click it.

Recording a meeting

Team Feedbacks meeting minuting facility consists of two pages: an attendance taking page and a meeting minuting page. After choosing to create a new meeting record, you are shown an attendance taking page. There, you can associate the meeting with a calendar event (see Scheduling meetings) and specify the attendance of each team member. You can identify each team member as "On time", "5 minutes late or less", "Late: arrived during the first half of the meeting", "Late: arrived during the second half of the meeting", "Absent: no reason given", "Absent: illness, family emergency or other personal circumstances", "Absent: transport problem or other personal emergency", "Absent: other commitment", "Other". When taking attendance at the start of the meeting, please record attendance as it is at that time rather than make assumptions about what you expect it to be: you can always change attendance later.

After taking attendance, click "Proceed to meeting". This leads to a screen allowing you to write a summary or formal minutes for the meeting. What/how much you write here depends on the expectations of the module organiser. If a group member turns up after the start of your meeting, you can click the "Attendance" button to update attendance accordingly, and click the "Return to meeting" button to return to minute/summary taking.

Attendance charts

Team Feedback monitors student engagement and produces meeting attendance charts for all students. Staff can access student engagement charts for all students in the teams they are responsible for and students can access their own data.

Students

Students can see the data Team Feedback stores about them. To access your personal attendance chart for a particular Project, locate the relevant " Project" menu, where Project is the name of the project for which you wish to see your attendance chart. In that menu, click the " Dashboard" option. This leads to a screen with one or more tabs. Chose the "My participation" tab to see your attendance chart.

Please note that attendance charts are updated overnight and your attendance at a meeting you have just attended will not be recorded immediately.

Staff

Staff can see attendance charts in a number of different places. Attendance charts are associated with a particular Project. Therefore, locate the relevant " Project" menu, where Project is the name of the project for which you wish to see attendance charts. Then, a number of options are available:

  • To see attendance within a particular group, click the " Teams" option. You will now be shown a list of teams or groups for this project. Identify the team you wish to review and click on the button next to it. This leads the team management page.
    • If you click on the "At a glance" tab, you will see a summary report on student engagement in that group. If meetings are recorded, a meeting attendance chart is included in that report.
    • If you click on the "Members" tab, you will see a list of members of the team. Click on the name of a student to open the student management page. In the student management page, open the "Participation" tab to see the meeting attendance chart for that individual student.
  • To see the attendance of a specific student, click on the " Students" option. Look up the student you are interested in on that page and click on the button next to their name to open the student management page. In the student management page, open the "Participation" tab to see the meeting attendance chart for that individual student.
